VENDOR COMMITMENT

Ensuring the quality of Women Who Rock the Rockies events for attendees and Vendors requires a mutual commitment of good faith and cooperation by all parties involved. The following rules and regulations are designed to implement the principles of this mutual commitment in a fair, effective, and equitable manner.

CANCELLATION OF VENDOR

Cancellation of vending commitment must be received in writing to Women Who Rock the Rockies Attention: Sherri Harrod, sherri@harrod-consulting.com by May 1, 2024.    

Cancellations prior to May 1, 2024 will incur a 10% fee.  Any Vendor who cancels space after May 1, 2024, will be responsible for the total booth cost.  No refunds will be granted.

FIRE PROTECTION

All materials used in the vendor area must conform to local ordinances and be in accordance with regulations established by the National Association of Fire Underwriters.

All displays are subject to inspection by the local re and safety authority. Fire stations and fire extinguisher equipment are not to be covered or obstructed in any manner.

SALES AND ORDER TAKING

Sales and order taking are permitted, provided all transactions are conducted in a manner consistent with the professional nature of the event. Products for sale must be the Vendors’ own unaltered products, and the products or services must be pertinent to the attendees’ interest. Women Who Rock the Rockies reserves the right to restrict sales activities that it deems inappropriate or unprofessional. Vendors must comply with all sales tax requirements. Vendors selling or taking orders during the event must adhere to all business licenses and State, County, city sales and use tax regulations, which vary from state to state.

SUBLETTING SPACE

Vendors are permitted to share their space.  Each company must complete and submit an application.  All rules and regulations apply.   

INSTALLATION AND DISMANTLE POLICY

Vendors must install and tear down their exhibit space during the designated installation and dismantle times.  Schedule will be released in April, 2024.

TERMS AND CONDITIONS COMPLIANCE

By completing the Application for Vendor Space, the Vendor agrees to abide by all terms and conditions outlined in this document.  The signer of the contract also agrees to share the terms and conditions with their company representatives who are working the booth.  All matters and questions not covered by these terms and conditions are at the discretion of Women Who Rock the Rockies and Wild Goose Saloon.  These terms and conditions may be amended at any time by Women Who Rock the Rockies and Wild Goose Saloon and all amendments, upon publication, shall be equally binding on all parties by them as the original regulations.  All rules and regulations will be enforced without exception.

APPLYING/PAYMENT FOR VENDOR SPACE

Each company is responsible for completing the Vendor Application.  Application will be reviewed for approval.   If approved, an invoice will be emailed to the Vendor contact on file and will be due upon receipt.   

Booth spaces are assigned and confirmed in the order applications and payments are received.  Once spaces are sold out, we will move you to our wait list. 

Vendor spaces are only guaranteed with signed application form and confirmed payment.  If payment is not received upon receipt,  your application will be moved to the waitlist.  We have a limited number of spaces so get your application and payment in early.

VENDOR SPACE

Vendors are provided with a 6-foot table and 2-chairs. The vendor space is outdoors so please plan accordingly.  Pop-up tents are encouraged.  Mandatory:  Vendors must bring appropriate weights to secure any tents used on premise.  Compact pop-up tabletop exhibits, banner stands, computer monitors, literature, and laptops are permitted. Wi-fi is available.  Electrical provided only upon request and is limited.

Each vendor  is responsible for set-up, dismantling and coordinating their own materials for their assigned space.
